Before the investigator arrives

An FMCSA review looks at your records, not your intentions.

In a new entrant safety audit during your first year, or a compliance review of an established fleet, the investigator works from your driver files, testing records, Clearinghouse queries, and accident register. When those are complete and easy to hand over, you answer the investigator's requests with documents instead of explanations.

Diversified Safety & Compliance prepares Nebraska carriers for that day. We run the investigator's questions first, show you what's missing, and help you fix it. Your company stays responsible for its compliance, including the drug and alcohol work its service agents do (49 CFR 40.15(c)). We prepare your records and walk you through the review.

Ways we help, with prices

Pick the help that fits where you are

Compliance Readiness Review

A mini compliance audit for carriers new to us: registrations, testing program, Clearinghouse queries, and driver files. $295, credited toward the Driver Files or Complete 2027 owner-operator package when you enroll.

Mock audit and audit preparation

We run the investigator's questions before the investigator does and give you a written list of what to fix, in order of risk. $150 an hour, no contract.

DataQs challenges

When an inspection or violation on your record is wrong, we gather the evidence and file the request. $70 per request.

Supervisor training

Reasonable suspicion training for $250 per session, for up to 15 supervisors, and Designated Employer Representative (DER) training for $150 per session.

What a mock audit covers

The records an investigator asks for first

  • Every driver qualification file, checked item by item against 49 CFR 391.51
  • Your drug and alcohol program: written policy, random selections and rates, pre-employment results, post-accident and reasonable-suspicion records, and supervisor training
  • Clearinghouse queries for every driver: a full query before the first shift and a limited query at least once a year (49 CFR 382.701)
  • Your accident register for the past 3 years (49 CFR 390.15)

Hours-of-service and maintenance records are outside the services we provide, so we tell you what the investigator will ask for and you pull them.

How it works

From first call to organized records

  1. 1

    Tell us what's coming

A new entrant audit, a compliance review, or a gap you want to close. We'll recommend the Readiness Review or a mock audit.

  2. 2

    We review your records

Driver files, testing program, Clearinghouse queries, and accident register, checked against the rules an investigator uses.

  3. 3

You get a written fix list

Every finding, ranked by risk, with what it takes to close it.

  4. 4

We help you close the gaps

From pulling motor vehicle records (MVRs) to rebuilding driver files, quoted before any larger project starts.

Keep the gaps closed

Filings and drivers in one place

Closing a gap once doesn't keep it closed. Our driver file management, Clearinghouse services, and DOT drug testing consortium help keep them closed, and the same team files your International Registration Plan (IRP), International Fuel Tax Agreement (IFTA), and Unified Carrier Registration (UCR) filings.

DOT audit questions

When is a new entrant safety audit?

New property carriers generally get one within their first 12 months of operation, and new passenger carriers within 120 days (49 U.S.C. 31144(g)), during the 18-month new entrant monitoring period (49 CFR Part 385, Subpart D). It covers driver qualification, drug and alcohol testing, hours of service, vehicle maintenance, insurance, and the accident register, and some violations fail it automatically (49 CFR 385.321). A Compliance Readiness Review shows where you stand before it.

What does a mock DOT audit cost?

Our compliance consulting, including mock audits, is $150 an hour with no contract. Larger projects, such as rebuilding driver files before a review, are quoted before any work starts. Carriers new to us can start with the $295 Compliance Readiness Review, which is free for Nebraska Trucking Association members new to Diversified.

What's your role during the audit?

We prepare your records and walk you through what the investigator will ask for before the review. Your company answers to the investigator and stays responsible for its compliance. For legal advice about a finding or a safety rating, talk to a transportation attorney.

Can a conditional or unsatisfactory rating be upgraded?

A carrier can ask for one. Once the problems are fixed, the carrier asks FMCSA in writing for a rating change, with evidence of the corrective actions (49 CFR 385.17). For a proposed or final unsatisfactory rating, FMCSA reviews the request within 30 days for passenger carriers and carriers of placarded hazardous materials and within 45 days for others.

Can you remove a wrong violation from our record?

We can file a DataQs request with the documents that support it, such as court records showing a citation was dismissed. The state or federal agency that reported the data decides the outcome. We'll tell you up front when an item isn't worth challenging. Each request is $70.

Do you check hours of service and maintenance records?

No. Those are outside the services we provide. During a mock audit we tell you which hours-of-service and maintenance records the investigator will ask for, so you can pull them and have them ready alongside the driver files and testing records we review.
